Job Description

Administrative Assistant

ESSENTIAL FUNCTIONS

Respond to website inquiries and in-bound contacts from potential customers in accordance with company standards.

Describe programs and answers questions in a manner that encourages patient enrollments and ultimate cycles.

Send information and enrollment packets to customers.

Enter data into their proprietary systems regarding customer contact information, demographics, medical history and current needs for care to establish a client record to monitor and track progress.  Support additional follow-up call needs to address questions and determine interest in programs.

Connects potential customers to nursing staff to answer clinical questions.

Meet and exceed enrollment goals for the division.

Record problems and suggests improvements to the systems, scripts, processes and reports.

Follow HIPAA protocols when discussing or accessing protected health information.

MINIMUM QUALIFICATIONS

Undergraduate degree preferred.

At least 2 years of customer service experience in a health care setting required. 

Experience in women’s health care highly desirable.

Experience using MS Office products including Outlook and Word.

Available for various hours/shifts to cover from 7:00 AM – 9:00 PM EST.

KNOWLEDGE, SKILLS AND ABILITIES

Medical and pharmacy terminology, infertility knowledge, HIPAA experience extremely desirable.

Some sales experience and payment processing experience preferable.

Experience with health insurance, employee benefits or physician scheduling preferable.

Strong written and verbal communication skills.

Bi-lingual highly desirable.
