Employment Type: Full-Time, 100% in-office for the first six months (potential for hybrid work with manager approval afterward).

Compensation: $28.40 /hour 

Parking: Onsite parking is available behind the building for $14.00 per day, with additional parking options nearby at variable rates.

Job Description:

We are seeking a detail-oriented Client Services Specialist to handle a wide range of client and shareholder mutual fund transactions, including new account setups, purchases, redemptions, exchanges, and ongoing account maintenance. The role involves performing complex analyses, managing shareholder requests, and maintaining compliance with regulatory and security standards. This is a critical position within our Milwaukee Lewis Center office, requiring a strong focus on accuracy, compliance, and customer service excellence.

As a Client Services Specialist, you will be responsible for processing financial and non-financial transactions with precision, interpreting and applying intricate client, fund, and regulatory information, and providing direct support to shareholders. This role requires an understanding of the securities and mutual fund industry and a commitment to internal quality and productivity standards.



Key Responsibilities:

  • Transaction Processing: Process client/shareholder mutual fund transactions such as new account setups, purchases, redemptions, and exchanges.
  • Document Analysis: Analyze complex documents (e.g., prospectuses, trust agreements, corporate resolutions) to ensure accurate processing.
  • Compliance Adherence: Ensure compliance with the Code of Ethics, Anti-Money Laundering (AML), Bank Secrecy Act, and related security protocols.
  • Communication: Serve as a liaison with shareholders, internal teams, fund clients, and regulatory agencies to resolve inquiries and issues.
  • Mentorship: Act as a mentor for new specialists, aiding in the transition from training to active team engagement.
  • Continuous Improvement: Actively participate in a culture of continuous improvement, quality assurance, and risk management.


Required Qualifications:

  • Education: 2-4 years of post-secondary education or equivalent professional experience.
  • Skills:
    • Proficient in verbal and written communication, with strong customer service skills.
    • Solid mathematical, analytical, and computer skills, with experience in financial transactions.
    • Ability to handle complex transactions independently, meeting productivity and quality standards.
  • Experience: Ability to process diverse client information and understand regulatory requirements.


Preferred Skills:

  • Industry Knowledge: Familiarity with the securities or mutual fund industry, including terminology, regulations, and best practices.
  • Attention to Detail: Ability to interpret legal documents, shareholder requests, and regulatory guidelines accurately.
  • Customer Service: Strong interpersonal skills, with the ability to provide top-tier support and problem resolution to clients and shareholders.
