What are we looking for in our Administrative Assistant?

Our client, a global music and entertainment organization, is seeking an Administrative Assistant to work support a senior executive at their Santa Monica, CA location. This is an excellent opportunity to work with a dynamic team and gain valuable experience in the music and entertainment industry.

Job Title: Administrative Assistant

Pay Rate: $20.00-22.00/hour (based on experience)

Duration: 2-month Contract | Possible Extension

Schedule: Monday-Friday, 40 hours/week, 1st shift

Location: Hybrid | Santa Monica, CA

Duties:

  • Update and maintain calendars for departmental schedules and events.
  • Coordinate travel arrangements for team members, including booking flights, accommodations, and transportation.
  • Assist in organizing and submitting managers' expenses, ensuring accuracy and compliance with company policies.
  • Support invoice processing activities, including verification, coding, and submission for payment.
  • Assist with organizing and maintaining departmental calendars and documents to ensure easy access and retrieval.

Skills:

  • 1-2 years of marketing and/or administrative experience preferred.
  • Ability to interact comfortably and effectively with employees of the company at all levels, including Senior Management, fostering positive working relationships.
  • Strong interpersonal skills to interact with external partners and vendors in a professional manner.
  • Demonstrated administrative, organizational, and creative abilities to streamline workflows and enhance productivity.
  • Proficiency in Microsoft Office suite, particularly Excel, for data management and analysis. Basic knowledge of audio/video formats is advantageous.
  • Ability to thrive under high-pressure situations, managing tasks efficiently and accurately.
  • Excellent written and verbal communication skills for effective internal and external correspondence.
  • Capacity to maintain strict confidentiality regarding sensitive information.
  • Flexibility and adaptability to handle multiple tasks simultaneously while maintaining attention to detail.
  • Passion for pop culture and entertainment knowledge is desirable.

Education:

  • Bachelor’s degree or equivalent experience preferred.

Required Skills:

  • Proficiency in processing invoices, including verification and submission.
  • Experience in calendar management for coordinating schedules and events.
  • Handling travel expense coordination and management.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office suite.
