We’re looking for an experienced program manager to lead cross-functional coordination of client.org initiatives, including emergency responses, ongoing partnerships, marketing, creative, community, and fundraising. Aligning stakeholders across the organization and getting timely input is critical to achieving our goals. You will also help establish and grow best practices for our team’s operations — including communication, prioritization, coordination, and process optimization — in tandem with both internal and external partners. This person has a proven track record of program development and management, with experience in product development — supporting the planning, operationalizing, tracking and scaling of business-critical initiatives within a complex, fast-paced organization. The ideal candidate is an independent, optimistic, creative and collaborative problem solver with the ability to anticipate both short- and long-term challenges, and to proactively initiate solutions in coordination with multiple internal and external cross-functional partners. Ultimately, we’re seeking someone with the skills to cultivate relationships, increase knowledge sharing, drive efficiency, and grow capacity within our organization to maximize the collective impact of the team.

  • Work closely with functional leadership of the team to plan and track project priorities, timelines, resources, and deliverables
  • Create and socialize frequent updates both to and from the team; identify and communicate changes; ensure ongoing alignment and that commitments are met
  • Partner with Program Managers throughout the company to align needs, assess priorities, and anticipate roadmaps/milestones/deliverables across a wide range of projects and stakeholders
  • Proactively identify opportunities and/or risks throughout the project lifecycle; take appropriate actions to resolve issues and manage stakeholder expectations as needed
  • Autonomously develop documentation, templates, frameworks, principles, guidelines, etc, to enable process optimization and quality output
  • Drive initiatives forward by identifying opportunities for collaboration/leverage, and highlighting connections between disparate teams, tracks of work, etc
  • Support scheduling and facilitation of milestone meetings/check-ins/presentations, especially those involving stakeholders from multiple teams/disciplines and/or senior leadership
  • Develop and manage the process/system for tracking, storing, archiving and searching documents and deliverables
  • Build and leverage relationships throughout the broader Client’s organization to help grow the influence and impact of the team

Required Skills:

  • Extensive practical experience in project/program management, which has been gained through managing large and complex programs end-to-end
  • Strong knowledge and handling of project and program management methodology, tools and techniques
  • Ideally program management experience in software development program management, marketing and growth program management, or Operations program management
  • Significant understanding of the research/insights discipline, roles, principles and practices
  • Experience managing projects that include both internal and external/3rd-party
  • stakeholders/contributors
  • Experience building relationships and collaborating across a geographically dispersed team
  • Track record of successful execution in dynamic, fast-paced environments
  • Proven ability to work in ambiguous and unpredictable contexts; to operate independently and take initiative; and to create structure and consistency
  • Proven ability to work positively with cross-functional stakeholders and align them on common goals
  • Proven ability to influence and drive change with senior leaders
  • Proven ability to balance a principled approach with pragmatism; to find creative/innovative solutions to problems
  • Strong situational awareness and critical thinking skills
  • Demonstrated commitment to ethical standards and integrity, both in day-to-day relationships with peers and in attitude with respect to customers and stakeholders

Requirements:

  • Minimum 8-10 years experience managing moderate to large sized projects/programs from initiation to launch within complex operating environments
  • Exceptional leadership, priority management, facilitation, and organizational skills
  • Outstanding working knowledge of project/program management principles

Nice to have:

  • Certified in program & project management methodologies, such as Scrum (CSM), PMI-PMP, LUMA, etc.
  • Previous experience supporting research industry/disciplines, including working with both internal research teams and external/3rd-party vendors
  • Strong knowledge in program/portfolio management tools (Atlassian Suite, Asana, etc.)
  • Experience with program management at Client
  • Experience with emergency response
