Job Description

Pride Health is looking for an experienced Executive Assistant to support one of social services client's C-level executives on a temp to perm basis.  

The ideal candidate would be intuitive, have previous experience working with boards, excellent writing skills, and understand how to work in a fast paced environment. Monday-Friday 9a-5p, based at their headquarters in Manhattan.

POSITION OVERVIEW:

Responsible for carrying out the department's mission by responding to requests for information from Agency staff and regulatory bodies. Provide overall support to the Executive Department in a wide variety of areas.   Where applicable, will serve on committees and attend training sessions. 

KEY ESSENTIAL FUNCTIONS:

  • Extensive writing for Executive Vice President: correspondence, memos, policy drafts and speeches.

  • Liaise with senior staff of external stakeholders organizations, including government, philanthropies, and other service providers.

  • Communicate with, and handle issues involving, agency trustees, senior and line staff and consumers.

  • Calendar management, process expenses and appointment setting

  • Plan and coordinate visits to agency programs by outside individuals and groups.

  • Troubleshoot with agency programs and administrative internal departments including fiscal, HR, MIS, Facilities, and Purchasing.

  • Prepare meeting agendas, take and process minutes; and track implementation of decisions.

  • Handle and track VIP help referrals and job applications.

  • Other duties as assigned

ADDITIONAL FUNCTIONS MAY INCLUDE:

  • Code and reconcile invoices

  • Prepare vendor documentation for contracts

  • Create Organization and flow charts

  • Maintain excel data fields

  • Work with client files

  • Customer Services representative for Program Operations with clients

  • Maintain filing of signed contracts and documentation

  • Assist with monthly credit card reconciliation for Program Operations staff

  • Create Powerpoint presentations

EDUCATIONAL / TRAINING REQUIRED:

  • BA in related field required

  • Minimum of two years of work experience

EXPERIENCE REQUIRED / LANGUAGE PREFERENCE:

  • Strong experience with MS Word & Excel

  • Excellent organizational, communication, and filing skills

  • Strong attention to detail

  • Confidentiality a must. Self-starter

  • Ability to communicate with staff all level
